Define inactivity by the real cycle

Six months is long for a restaurant and short for an annual service. Base inactivity on the normal purchase or usage rhythm.

Create distinct groups for one-time buyers, formerly regular customers, expired subscribers, and inquiries that never progressed. Their reasons for silence differ.

Give people a reason to return

Bring a relevant update, remove an old friction, or remind people of known value. Constant discounts train customers to wait.

Use history with restraint. Mentioning a preferred category can help; reciting a complete activity trail can feel intrusive.

Write without guilt

Avoid “We miss you” when the relationship does not support that intimacy. Acknowledge the time and explain the present reason for writing.

Prepare for honest replies

Replies may surface old concerns about price, delays, availability, or service. Give the team enough context to respond without hiding behind a script.

Separate sales interest, service issues, and opt-outs. Each needs a different owner and next action.

Measure durable return

Track immediate replies and conversions, then whether the contact remains active. One heavily discounted order is not the same as renewed loyalty.

Compare results by inactivity length and reason. Some groups merit a sequence; others should be left alone.
