Two spreadsheet rows can represent the same phone number in different formats. Contact deduplication starts with normalization, but it also requires a decision about which information and permissions to keep.

1. Normalize before comparing

Keep an untouched copy of the source file. Convert numbers to a consistent international format using the correct country context. Do not guess a country when the source is ambiguous. Formatting a number correctly does not prove ownership, WhatsApp registration, or permission; it only makes reliable comparisons possible.

2. Review conflicting records

Group rows by normalized phone and compare names, source dates, and custom fields. Choose the current valid record rather than automatically keeping the newest spreadsheet row. A shared family or business number can contain different people’s details. Different phone numbers can also belong to one customer, so phone matching is not identity verification.

3. Protect communication exclusions

Remove opted-out numbers from the import file before uploading. Reimporting an unsubscribed contact can restore eligibility. Maintain an external exclusion list and reconcile it before every upload.

4. Inspect the imported audience

Review the import summary, rejected rows, sample contact details, and actual eligible audience before launching. Keep a record of the source version and exclusions applied. Start with a small cleaned file and preview messages for records with missing or conflicting names. Only expand once the imported group matches your intended recipients.

5. Keep a decision log for disputed rows

When two records conflict, note which source you trusted and why. Keep unresolved rows out of the campaign until a responsible person can verify them. That decision log helps the next importer avoid undoing your cleanup or restoring an excluded number simply because another spreadsheet contains a more recent purchase.
